Gartner examined how well each solution meets the needs of six different use cases. Each vendor's product is evaluated across these critical capabilities, with a rating scale of 1.0 to 5.0 (where 1 is poor and 5 is outstanding). The product scores are then calculated by multiplying the ratings by the respective weightings for each use case. This methodology helps quantify how well each product meets the needs of different scenarios.

Gartner describes the Application Portals use case as a way to “provide employees with easy, unified, personalized, and orchestrated access to business systems and processes.” The goal is to create a centralized entry point through the intranet that allows employees to easily access the tools, resources, and applications they need to perform their roles more effectively.

The weighting system in this research underscores the critical importance of Platform Extensibility (20%) and Platform Assurance (20%). Organizations need a solution that can integrate with their existing systems and adapt as their needs evolve. This flexibility ensures that the application portal can grow with the organization, accommodating new tools, platforms, and workflows.

What sets the best vendors apart is Gartner’s inclusion of Personalization, which their analysts weigh at 15% in significance. When an administrator can easily target tools and resources based on someone’s job role and location, and the recipient can log in to experience something frictionless, employers can improve productivity, reduce time spent navigating between systems, and ensure that employees have all the necessary resources at their fingertips.
